Purpose of the Role

The Proposal Manager is responsible for the end-to-end management of the bidding process. The main objective is to produce high-quality commercial, technical, and administrative proposals, ensuring compliance with client requirements (RFP/RFQ) and timely delivery. This role involves defining the business case and carrying out risk assessments. The Proposal Manager acts as a point of contact between the sales team, technical departments, legal office, and finance and controlling.

Main Responsibilities

  • Process Management: Coordinate all stages of the proposal lifecycle, from the initial assessment (Go/No-Go) to final submission.
  • Tender Analysis: Thoroughly analyse tender documents (RFP, RFQ, Specifications) to identify requirements, evaluation criteria, and risks.
  • Project Management: Define the work plan, assign tasks to internal stakeholders (technical experts, legal, finance), and monitor deadlines.
  • Content Editing: Write, review, and format the narrative section of the proposal, transforming complex technical concepts into clear and persuasive sales arguments.
  • Compliance and Quality: Ensure that all documentation (administrative and technical) meets the required formal criteria to avoid exclusions.
  • Knowledge Management: Update and manage the company’s content library (case studies, certifications, templates) to optimise future responses.

Requirements and Skills

  • Education: Degree in Engineering, Economics, Communication, or related fields.
  • Experience: At least 3-5 years’ experience in managing complex tenders or bid management.

 Soft Skills:

  • Exceptional planning and organisational skills.
  • Ability to work under pressure and manage tight deadlines.
  • Excellent writing and communication skills in both Italian and English. Additional languages are a plus.
  • Leadership and the ability to influence people not under direct supervision.

 

Hard Skills:

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Knowledge of e-procurement platforms (e.g., MEPA, regional portals).
  • APMP (Association of Proposal Management Professionals) certification is considered a strong plus.
